RAG knowledge systems

AI that answers from your company data

Retrieval-Augmented Generation (RAG) — a system that "reads" your documents, contracts and manuals and answers like an experienced colleague. With source citations.

How does RAG work?

RAG combines the power of language models with your real data. The AI doesn't hallucinate — it answers precisely from your documents and cites its sources.

1. Document ingestion

PDF, Word, Excel, web pages, e-mails, Confluence, SharePoint — RAG processes any text format.

2. Indexing & vectorisation

The system splits documents into semantic chunks and builds a vector index for search by meaning, not just keywords.

3. Intelligent answers

Users ask in natural language. RAG finds the relevant passages and produces an accurate answer with source citations.

Where you'll use RAG

Internal knowledge base

Employees ask the AI instead of digging through dozens of folders and documents. Answers in seconds instead of minutes of searching.

Legal & contract documents

"What are the termination terms in the contract with supplier X?" — RAG finds the exact clause and points to the paragraph.

Compliance & regulation

Fast answers on GDPR, ISO standards, internal policies. Always current, always with a link to the source.

Technical documentation

Developers, engineers and support teams ask the system instead of searching the wiki. RAG understands technical language and context.

Training & education

New employees learn faster — they ask the AI anything from company materials and get clear answers.

Customer support

RAG combined with an AI agent — the agent answers customers exactly according to your documentation, pricing and terms.

A concrete example: how RAG success is measured

A typical law office or tech team spends 5–10 hours a week searching documents. Here's what changes:

Searching by hand
8 hours / week
Digging through e-mail, SharePoint, PDFs. Often found on the second try.
With a RAG system
30 minutes / week
You find the exact document and paragraph in 10 seconds. No guessing.
ROI over 12 months
390 hours ≈ €6,200
7.5 h × 52 weeks × €16/h ≈ €6,200. RAG cost: ~€999. Payback: under 2 months.

How much does it cost?

Basic RAG (up to 200 documents)from €399
Advanced RAG (access control, integrations)from €999
Monthly operations & updatesfrom €79 / month

The price depends on document volume and required integrations. I'll prepare an exact quote after the intro call. View full pricing →

Frequently asked questions

Yes. Your data can stay on your server or in a private cloud — it isn't shared with third parties. You control access rights — every user only sees what they're allowed to. If you need a GDPR audit, we sign a DPA (Data Processing Agreement).

PDF, Word, Excel, PowerPoint, HTML, Markdown, e-mails, CSV, TXT and more. We also connect to Confluence, SharePoint, Google Drive, Notion, OneDrive — wherever your data lives, it gets read.

The RAG system automatically detects changes and re-indexes updated documents — no manual work. Answers are always current and always cite the latest version.

A simple RAG with no integrations (just PDF uploads) — 1–2 weeks. Advanced RAG connected to SharePoint/Confluence — 3–6 weeks. It depends on the number and quality of sources. We always start with a pilot on a smaller document set.

A hallucination is when AI makes up an answer that isn't in the documents. RAG minimises hallucinations — the AI answers only from your documents and always cites the source. If the information isn't in the data, the AI says "I don't know" instead of inventing.

A basic knowledge base (up to 200 documents) starts at €399 one-off. A company knowledge system with unlimited documents, role-based access control and automatic updates starts at €999. I'll refine the price once we know how much data and how complex an access structure you need.

An internal knowledge system for employees usually doesn't fall under the stricter rules — it's not a high-risk system. If the RAG powers a customer-facing chatbot, the standard obligation to disclose it's AI applies (from 2 August 2026). Details in the AI Act article.
